The job is finished. The report should be too.
Your technician messages what he did on site. The service report, the photos, and the invoice number land on one record. We set it up and manage it.
Free. No obligation. We will confirm which plan fits this workflow.
Sound familiar?
The report comes back three days after the job.
Your technician finishes on site and moves to the next job. The service report sits in his head, or in a photo roll, until someone chases him for it on Friday.
Every invoice waits on paperwork.
You cannot bill until the report is written, checked, and formatted. Late reports mean late invoices, and late invoices mean you are financing the client.
Quotes, variations, and job notes live in three chat groups.
The quote is in email, the variation is in a WhatsApp group, and the site photos are on a phone. When the client queries the bill, nobody can find the evidence.
What happens between the site and the invoice
We build it around your report format, your services, and your billing. You don't touch a dashboard.
The report is written from the site chat
Your technician messages what he did, the same way he already does. The service report record is filled in from that message. Nobody retypes a job sheet at the office.
Site photos land on the job record
Photos sent from site attach to the right job instead of sitting in a camera roll. When a client disputes the work, the evidence is already on the record.
The PDF raises itself
Once the record is complete, the service report PDF is generated and attached, in your existing format. A Singapore engineering contractor had the PDF raised automatically on 18 of its last 21 reports.
Quote, job, variation, and invoice on one record
Quote reference, scope of work, start and completion dates, who prepared it, and the invoice number all sit together. Not in three tools and a chat group.
Invoice the day the job closes
The invoice number goes on the record when the job completes, so billing does not wait for someone to catch up on paperwork at the end of the week.
Scheduled maintenance runs off the record
Servicing intervals, contract renewals, and recurring site visits are triggered by the job history rather than a reminder in someone's calendar.
No new app for the crew
Technicians and subcontractors keep using WhatsApp. There is no rollout, no login to reset, and no training week before the system is useful.
Your job history stays exportable
Every job, report, and invoice reference exports to CSV whenever you ask. You are never holding a record you cannot read.
What this looks like in production
A Singapore engineering contractor runs an internal assistant for its service reports. Of its last 21 reports, 19 started as a message from site rather than a form. Eighteen carry site photos, the PDF generates itself, and every one carries its invoice number.
That contractor went live at the end of July. It is an early deployment, and we would rather show you the real numbers than round them up.
Common questions
Do our technicians need to learn a new app?
No. They message on WhatsApp the way they already do. The system reads that message and writes the record. That is the whole reason it gets used on site instead of ignored.
Can it match our existing service report format?
Yes. We build the PDF template from the report you already issue, including your fields, layout, and sign-off block. Clients should not be able to tell the format changed.
What about scheduled and preventive maintenance?
Servicing intervals and contract renewals run off the job records, so the next visit is raised from the last one. We set the intervals up with you during configuration.
Can we keep our accounting system?
Yes. Xero and QuickBooks are both live integrations, available as an add-on on the $499 plan and included on Enterprise. Contacts, quotes, and invoices move through to your books with the PDFs attached. For any other accounting system we map the handoff first and confirm what it accepts before promising a connection.
This might not be for you if...
You don't get many customer messages and have no repetitive work. You probably don't need this yet.
You want a script that gives the exact same answer every time, with no flexibility. We're conversational, not robotic.
Not sure? Message us. We'll tell you honestly if it's a fit.
What would you stop doing first?
Replies, follow-ups, bookings, quotations, invoices, or record updates. Show us the work taking up your time.
We will recommend one useful place to start. Add more only when it is working.
